Position Summary: The COE Training Assistant supports the development and delivery of high-quality training on drug user health and related public health topics. Working closely with the Program Manager, Lead Trainer, and team members, this position helps coordinate and enhance both virtual and in-person learning experiences. The role contributes to improving participant engagement, maintaining accurate training records, and ensuring clear communication with training participants. Success in this position requires strong organizational skills, attention to detail, adaptability, and a commitment to cultural humility and public health.
Authority and Independence
The Training Assistant works under general supervision and exercises independent judgment within established procedures. The position contributes to program operations by managing assigned training logistics and communications in coordination with the Program Manager.
Minimum Qualifications
Education
- Bachelor’s degree in a relevant field or equivalent work experience.
Experience
- Experience in training coordination, program support, or a related area preferred.
- Experience using learning management systems (LMS) and virtual training tools is beneficial.
Skills and Competencies
- Strong organizational, communication, and documentation skills.
- Ability to manage multiple tasks and meet deadlines while maintaining accuracy and attention to detail.
- Proficiency in Microsoft Office and virtual engagement tools.
- Ability to work independently and collaboratively within a team environment.
- Commitment to cultural humility and sensitivity to HIV/AIDS, chronic illness, LGBTQ+, and BIPOC communities.
- Experience providing stigma-free and culturally competent services.
- Valid, unrestricted NYS driver’s license and reliable access to a registered, insured vehicle for travel related to training events or outreach.
Other Requirements
- Valid New York State driver’s license and reliable access to a vehicle with current insurance for work-related travel, training, outreach, and occasional client transport (personal vehicle ownership is not required but consistent access is necessary).
Primary Responsibilities
- Incorporate confidentiality best practices in all job duties and communications in accordance with Article 27-F, HIPAA, and ACR Health policies.
- Assist in developing, updating, and presenting training materials for adult learners within harm reduction frameworks.
- Stay current on evidence-based and emerging practices related to drug user health and public health.
- Utilize interactive tools and virtual engagement strategies to enhance participant participation.
- Create and distribute promotional materials, training announcements, and logistical communications.
- Maintain accurate training data, including attendance, evaluations, and participant information, within the Learning Management System (HIVTrainingNY.org).
- Represent the program at community events, tabling opportunities, and outreach activities to promote the Center of Expertise and expand engagement.
- Participate in team meetings, required trainings, and ongoing professional development.
- Perform other duties as assigned by Program Management, Chief Program Officer and/or Chief Executive Officer.

FLSA Status: Non-Exempt
Location: Syracuse Office Hours per week: 35 Work Schedule: Full Time in Office, occasional evenings and weekends may be required for meetings, workshops, outreach, and events.
